1. Acceptance of Terms

By accessing or using RoomFlow ("the Service"), you agree to be bound by these Terms of Service. If you do not agree, do not use the Service.

2. Description of Service

RoomFlow is a real-time exam room and patient flow management platform for medical and veterinary practices. The Service includes room tracking, patient check-in, waitlist management, team collaboration, and related features.

3. Accounts

  • You must provide accurate information when creating an account
  • You are responsible for maintaining the security of your account
  • One practice location per workspace unless on an Enterprise plan
  • Account administrators are responsible for managing team access

4. Subscription & Billing

RoomFlow offers Free, Pro, and Enterprise plans. Paid subscriptions are billed monthly through Stripe. You may cancel at any time — access continues through the end of your billing period. Refunds are handled on a case-by-case basis.

  • Free: Up to 4 rooms and 3 team members
  • Pro ($59/mo): Unlimited rooms and team members
  • Enterprise: Custom pricing, contact us

5. Acceptable Use

You agree not to:

  • Use the Service for any unlawful purpose
  • Attempt to gain unauthorized access to other accounts or systems
  • Interfere with or disrupt the Service
  • Use the Service to store or transmit malicious code

6. Data & Privacy

Your use of the Service is also governed by our Privacy Policy. You are responsible for ensuring your practice's use of RoomFlow complies with applicable healthcare privacy regulations (HIPAA, state laws, etc.).

7. Limitation of Liability

RoomFlow is provided "as is" without warranties of any kind. We are not liable for any indirect, incidental, or consequential damages arising from your use of the Service. Our total liability shall not exceed the amount you paid us in the 12 months prior to the claim.

8. Termination

We may suspend or terminate your access if you violate these terms. You may delete your account at any time. Upon termination, your data will be deleted within 30 days.
