RoomFlow collects information you provide directly, including your name, email address, practice information, and team member details when you create an account and set up your workspace.

We also collect information about patients/clients who check in through RoomFlow, including their name, phone number (if provided), and visit reason. This data is managed by your practice and stored in your practice's workspace.

2. How We Use Your Information

  • To provide and maintain the RoomFlow service
  • To manage your account and practice workspace
  • To send SMS notifications when enabled by your practice
  • To send web push notifications when you opt in
  • To process subscription payments through Stripe
  • To improve and develop new features

3. Data Storage & Security

Your data is stored securely using Google Firebase infrastructure. We use industry-standard encryption and security practices to protect your information. Payment processing is handled entirely by Stripe — we never store your credit card details.

4. Third-Party Services

We use the following third-party services:

  • Firebase — Authentication, database, and hosting
  • Stripe — Payment processing
  • Twilio — SMS notifications
  • Vercel — Application hosting

5. Data Retention

Practice data is retained for as long as your account is active. You may request deletion of your account and associated data at any time by contacting us.

6. Your Rights

You have the right to access, update, or delete your personal information at any time. Practice administrators can manage team member data through the RoomFlow settings panel.
